Terms of Service
Last updated: July 24, 2026.
These terms apply when you use this website or hire ProjectK Publishing ("ProjectK", "we", "us") to edit your work. By requesting a sample edit, sending us a manuscript, or booking a service, you agree to them. They are short on purpose, and we have tried to write them in plain English.
1. Who we are
ProjectK Publishing is a small team of fiction editors based in Toronto, Canada, working with English-speaking authors worldwide. You can reach us at Matthew@projectkpublishing.com.
2. What we do
We provide editorial services for fiction manuscripts. Depending on what you need, that may include proofreading, copy and line editing, developmental editing, or beta reading. The exact service, word count, price, and delivery date for your project will be confirmed with you in writing before any paid work begins. That written confirmation, together with these terms, is our agreement.
3. The free sample edit
We offer a free sample edit of up to 3,000 words, returned within two business days, with no obligation to continue. The sample exists to show you how we work before you commit to anything. It is not a full edit and it does not commit either of us to further work. We may decline a sample request at our discretion.
4. Your work stays yours
You keep every right to your manuscript. We claim no ownership, no copyright, and no royalty or revenue interest in your work at any stage, including after we have edited it. Our edits, notes, and suggestions are delivered to you for your use. You are free to accept, reject, or change any of them, and you never need our permission to publish.
5. Confidentiality
We treat your manuscript as confidential. We do not share, sell, or publish your work. We do not use it to train AI systems, and we do not provide it to any third party that would. Files are sent over a secure connection, are accessible only to the editors working on your project, and are deleted on request. If you want your files removed, email us and we will confirm once it is done.
We will only refer to a completed project publicly, for example by naming a title we edited or quoting your feedback, if you have given us permission.
6. Your responsibilities
When you send us a manuscript, you confirm that:
the work is yours, or you otherwise have the right to have it edited;
it does not infringe anyone else's copyright or other rights;
it does not contain unlawful content.
You remain responsible for the final content of your book. Editing is advisory. The decisions, and the finished manuscript, are yours.
7. What we cannot promise
Editing improves a manuscript. It cannot guarantee an outcome. We do not promise that your book will be published, signed by an agent, sell any particular number of copies, or receive any particular review or rating. No honest editor can promise those things.
We also cannot guarantee that a manuscript will be free of every last error. Editing is a human process carried out to a professional standard, not a mechanical one.
8. Quotes, payment, and scheduling
We quote per project, based on your word count and the service you choose. A quote is valid for 30 days. We confirm the price and the schedule with you before we start, and we will not change an agreed price partway through unless you ask for work outside the agreed scope.
A 20% deposit reserves your slot in the schedule, and the balance is due when we deliver the edited manuscript.
9. Scope changes and revisions
If you send substantially rewritten or longer material after we have quoted, we may need to requote or reschedule, and we will talk to you before doing either.
After delivery, you are eligible for two revision rounds limited to clarification or refinement of the edits already provided.
10. Delivery and delays
We agree a delivery date with you and we work hard to meet it. If something delays us, we will tell you as soon as we know and agree a new date with you. If a new date does not work for you, you may cancel under section 11.
11. Cancellation and refunds
If you cancel after work has started, we keep the deposit and may invoice you for any work completed beyond the value of the deposit.
If we cancel before starting work, we will refund any deposit you have paid.
If we cancel after work has started, for reasons not caused by you, we will charge only for the work completed up to that point and refund any unused portion of prepaid fees.
12. Work we may decline
We may decline a project, or stop work and refund any fee for work not yet done, if the material is unlawful or if the working relationship becomes abusive. This is rare, and we would always speak with you first.
13. Limitation of liability
We have full right, power, and authority to enter into and carry out this agreement. Apart from the promises we make in these terms, we give no other warranties, express or implied, whether in fact or by operation of law, by statute or otherwise, and we disclaim all of them to the fullest extent the law allows. We will not be liable to you for lost profits or revenue, loss of opportunity or goodwill, loss of publication prospect, loss of data, or for any special, indirect, incidental, consequential, or punitive damages, however caused and on any theory of liability, whether or not we had been told such damages were possible. This limit applies regardless of whether any other part of these terms has been breached or has proven ineffective. Our total cumulative liability in connection with these terms, whether in contract, tort, statute, or otherwise, will not exceed the total amount of fees you have paid us for the work that gave rise to the claim.
14. Privacy
Information you give us through this website is handled as set out in our Privacy Policy.
15. Changes to these terms
We may update these terms from time to time. The version that applies to your project is the one published when we confirmed your booking. The date of the most recent update is shown at the top of this page.
16. Governing law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. Any dispute will be dealt with by the courts of Ontario.
